Terms of Service

These Terms of Service ("Terms") govern your access to and use of the EvidenceBee website and platform (the "Service"), operated by EvidenceBee SAS, a French société par actions simplifiée (registered office: 146 rue Guillaume Leblanc, 33000 Bordeaux, France) ("we", "us"). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. The Service

EvidenceBee is a collaborative platform for conducting systematic reviews and meta-analyses - including reference import, screening, full-text review, data extraction, dataset management, meta-analysis and reporting. The Service is a research-productivity tool; it does not provide medical, clinical, statistical or legal advice.

2. Accounts & eligibility

You must provide accurate registration information and keep it up to date. You are responsible for safeguarding your credentials and for all activity under your account. You must be legally able to enter into these Terms and use the Service for lawful purposes.

3. Your content & data

You retain all ownership of the references, PDFs, extracted data and other content you upload or create ("Your Content"). You grant us a limited, non-exclusive licence to host, store, process and display Your Content solely to operate and provide the Service to you and your collaborators. You represent that you have the necessary rights to upload Your Content and to use any personal data (such as author-contact details) in compliance with applicable law.

4. Acceptable use

• Do not use the Service for any unlawful, infringing or harmful purpose;
• Do not upload content you do not have the right to use;
• Do not attempt to disrupt, reverse-engineer, overload or gain unauthorised access to the Service;
• Do not resell or provide the Service to third parties except as expressly permitted;
• Respect the terms and rate limits of third-party sources the Service connects to (e.g. PubMed / NCBI, CrossRef, Unpaywall) and use retrieved author-contact data responsibly and lawfully.

5. AI reviewer & bring-your-own-key

The optional AI reviewer uses a third-party large-language-model provider through an API key that you supply. You are responsible for your provider account, your key, and any usage fees the provider charges you directly. AI output is assistive and may be incomplete or incorrect: while the Service is designed so the AI abstains rather than fabricates data and checks extracted numbers against the source, you remain responsible for verifying results and for all final review decisions. We make no warranty as to the accuracy of AI output.

6. Subscriptions, billing & pause/resume

The Service uses per-project pricing: each project carries its own subscription that can be paused or resumed. Paid plans are billed monthly or annually, in advance, through our payment provider (Stripe) once billing is enabled. Prices are shown on our pricing page and may be subject to applicable taxes. Subscriptions renew for the selected period unless cancelled or paused before renewal. Except where required by law, payments are non-refundable; pausing a project stops future charges but does not refund the current period. We may change prices with reasonable notice for future billing periods.

7. Institutional & self-hosted licensing

On-premise (self-hosted) licences and managed dedicated instances are offered under a separate written agreement. These Terms govern the hosted software-as-a-service offering; where a signed institutional agreement exists, that agreement controls to the extent of any conflict.

8. Intellectual property

The Service, including its software, design and trademarks, is owned by us and our licensors and is protected by intellectual-property laws. Except for the rights expressly granted to you, we reserve all rights. You gain no rights in the Service other than to use it in accordance with these Terms.

9. Third-party services

The Service integrates with third-party services (including PubMed / NCBI, CrossRef, Unpaywall, Mailgun, Stripe and AI providers). Your use of those services is subject to their terms, and we are not responsible for their availability, content or acts.

10. Disclaimers

The Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy or non-infringement. You are solely responsible for the scientific validity, methodology and conclusions of any review or analysis you produce using the Service.

11. Limitation of liability

To the maximum extent permitted by law, we will not be liable for any indirect, incidental, special, consequential or exemplary damages, or for loss of data, profits or goodwill. Our total liability arising out of or relating to the Service will not exceed the amount you paid us for the Service in the twelve (12) months preceding the event giving rise to the claim. Nothing in these Terms limits liability that cannot be limited under applicable law.

12. Indemnification

You agree to indemnify and hold us harmless from claims, damages and expenses arising out of Your Content, your use of the Service, or your breach of these Terms or of applicable law.

13. Suspension & termination

You may stop using the Service and delete your account at any time. We may suspend or terminate access if you breach these Terms or where necessary to protect the Service or other users. On termination, your right to use the Service ends; provisions that by their nature should survive will survive.

14. Changes

We may modify the Service or these Terms. We will post updated Terms here and revise the "Last updated" date. Continued use after changes take effect constitutes acceptance.

15. Governing law

These Terms are governed by the laws of France, without regard to conflict-of-laws rules. Subject to any mandatory consumer-protection rights you have where you live, the competent French courts will have exclusive jurisdiction over any dispute arising out of or relating to these Terms.
